Messy licensing costs your company money
In many small businesses in Costa Rica, licenses are bought as needs arise: an email account here, a trial antivirus there, a business application installed years ago on a single computer. Over time, nobody knows for sure how many licenses there are, who uses them or when they expire. The result is familiar: paying for users who no longer work at the company, an antivirus that expires without anyone noticing or a new employee spending days without email.
At SYSCOM we have served businesses since 2001, and we have seen that getting software licensing in order is not just a purchasing matter. It is a matter of security, continuity and compliance.
Microsoft 365: choose well and configure it securely
Microsoft 365 licenses for businesses in Costa Rica are often bought with a simple rule: the same plan for everyone. But not every role works the same way. Someone who only uses email and online documents doesn’t need the same as someone who works all day with desktop spreadsheets or handles sensitive information. SYSCOM is a Microsoft CSP partner, meaning a provider authorized by Microsoft to sell and manage its cloud licenses, so purchasing, billing and configuration are all in one place. That is why we start by reviewing usage profiles and recommend the combination of plans that makes sense for your operation.
When the company is coming from another email provider, we plan the mailbox migration and schedule the switchover to disrupt work as little as possible. And something that makes a difference: we leave the account securely configured from the start. Several important protections are not turned on by default, such as two-factor authentication (MFA), blocking legacy protocols or alerts for unusual sign-ins. You can see the full list in our article on Microsoft 365 security settings for SMBs.
Device protection and business software
Email is only one part. Every computer needs a managed business antivirus, not a home version each user installs and forgets, and the network needs a firewall that filters what comes in and goes out. We sell licenses for these solutions and, if you wish, agree with you on their installation and management, so protection stays active and current on every device.
We also support SMBs with licensing for business management software (ERP), which integrates accounting, inventory and invoicing, and customer management software (CRM), which organizes the tracking of sales and contacts. We make sure these tools are properly licensed and, if you need to implement them, that work can be negotiated, usually through specialized partners.
What changes for your business
With properly licensed software and an up-to-date inventory, you know exactly what you are paying for and for whom. When someone joins or leaves, the license is assigned or released, with no forgotten accounts that still have access to company information. We keep the license inventory with renewal dates and notify you before each expiration; according to your contract, we handle additions, removals and other requests through the Soporte Digital portal, remotely throughout the country and on-site in the Greater Metropolitan Area (GAM).
The result is less unnecessary spending, less security risk and the peace of mind that all of the company’s software is legal and current.
