When the spreadsheet is no longer enough
Many small businesses in Costa Rica start tracking customers, orders or inventory in an Excel spreadsheet, and for a while it works. The problem appears when the company grows: there are several versions of the same file, two people edit it at the same time, a formula gets deleted without anyone noticing and building the monthly report takes days. Something similar happens with off-the-shelf programs: they cover most of the work, but whatever they don’t cover ends up in manual processes, emails and side notes.
Custom software development is meant to fill exactly that gap. A system built for your operation keeps information in one place, applies business rules consistently and automates the tasks that today depend on someone remembering to do them.
Programming isn’t always the answer
A custom system is an investment, and it isn’t always the best one. If there is a product on the market that covers your process well, it is usually faster to implement and easier to maintain. That is why, before proposing development, we evaluate with you whether an existing product is a better fit; in that case, we can help you with software licensing.
Custom development makes sense when the way you work is unique and gives you an edge, when you need several tools to share information or when the program you use today forces you to duplicate work.
How we run a project
Everything starts with requirements gathering: we talk with the people who use the process, review current documents and files and understand what information management needs to make decisions. With that we analyze the scope with you to see whether we can develop the application you need; every case, including mobile apps or online stores, is evaluated separately. If the project is feasible, we split it into phases.
Working in phases reduces risk. Instead of waiting for everything to be finished, each phase is delivered, tested with real users and put into use. What is learned in one phase improves the next, and you stay in control of the project’s priorities.
Systems integration is part of the design from the start. We review which tools the company uses and how feasible it is to connect them, so the new system doesn’t become yet another island where information has to be typed in again.
What changes after delivery
A system only works if people use it. That is why we provide staff training, on-site in the Greater Metropolitan Area (GAM) or remotely throughout the country, along with support during go-live. After that, the system needs adjustments as the company changes: a new report, an additional field, another process worth automating.
That ongoing support can be handled within a managed services relationship, the same model we have used to look after businesses’ IT since 2001. Requests are logged in the Soporte Digital portal, so you have a history and tracking of every change.
